How can I book a tour?
Booking with Arrowhead Expeditions is simple! You can:
- Browse expeditions on our website and click “Book Now” on your chosen adventure
- Email us at arrowheadconceptsltd@gmail.com with your preferred destination and dates
- Call or WhatsApp us at (+254) 725 502107 to speak directly with our team
- Request a custom itinerary – we’ll design an expedition tailored to your interests and budget
Once you’ve selected your expedition, we’ll send a detailed itinerary and secure booking form. A deposit of 30% confirms your reservation, with the balance due 60 days before departure.
What is included in the tour package?
All Arrowhead Expeditions packages include:
- Accommodation as specified (luxury lodges, mid-range camps, or budget guesthouses depending on your package)
- All activities and excursions listed in your itinerary
- National park entrance fees and permits (including gorilla trekking permits where applicable)
- Ground transportation throughout the expedition in comfortable safari vehicles
- Expert local guides and trackers with deep wildlife and cultural knowledge
- Most meals – breakfast daily, plus lunch and dinner on safari days
- Airport transfers on arrival and departure days
- Conservation contribution to our Community Impact Fund
Not included: International flights, travel insurance (required), visa fees, personal items, meals not specified, and gratuities for guides.
What is the cancellation policy?
We understand plans can change. Our cancellation policy is:
90+ days before departure: Full refund minus 10% administration fee
60-89 days before departure: 50% refund
30-59 days before departure: 25% refund
Less than 30 days before departure: No refund
Important exceptions:
- Gorilla and chimpanzee trekking permits are non-refundable once purchased
- We strongly recommend comprehensive travel insurance that covers cancellations, medical emergencies, and trip interruptions
Modifications: You can modify your expedition dates once free of charge (subject to availability) up to 60 days before departure.
Are there any age restrictions for the tour?
Age requirements vary by expedition type:
Family Adventures (Mid-Range packages):
- Minimum age: 6 years old
- Perfect for families with children comfortable with 2-4 hour game drives and moderate walking
Gorilla & Primate Trekking:
- Minimum age: 15 years old (strictly enforced by park authorities)
- Requires moderate to high fitness due to hiking in mountainous terrain
Budget Backpacker Expeditions:
- Minimum age: 18 years old (or 16 with parent/guardian)
- Involves camping, longer travel days, and more physically demanding activities
Luxury Expeditions:
- No minimum age, but activities are typically better suited for teens and adults
- Private family departures can be customized for younger children
Fitness Requirements: Most expeditions require moderate fitness. Mountain treks (Kilimanjaro, Simien Mountains) require good physical condition. Contact us to discuss specific health or mobility concerns.
What should I pack for the tour?
Essential Items for All Expeditions:
- Valid passport (6+ months validity) and visa
- Travel insurance documents
- Yellow fever vaccination certificate (required for most African countries)
- Lightweight, neutral-colored clothing (khaki, olive, beige) for safaris
- Comfortable walking shoes and sandals
- Sun protection: hat, sunglasses, SPF 50+ sunscreen
- Insect repellent (DEET 30%+)
- Reusable water bottle
- Camera with zoom lens and extra batteries/memory cards
- Small daypack for daily excursions
Safari-Specific:
- Binoculars for wildlife viewing
- Warm fleece/jacket for early morning game drives
- Long pants and long-sleeved shirts (protection from sun and insects)
Gorilla Trekking Add-ons:
- Waterproof hiking boots with ankle support
- Lightweight rain jacket
- Gardening gloves (for grabbing vegetation)
- Gaiters (optional, for muddy trails)
Budget Expeditions:
- Sleeping bag (can be rented)
- Headlamp/flashlight
- Quick-dry towel
Don’t Overpack: Laundry services are available at most lodges. Check your specific itinerary for detailed packing lists, and we’re always happy to advise based on season and activities.
